How to backup your computer data

Ok. I know what you are thinking. I can not be bothered with all that. But hang on you came to this page, so perhaps you are interested in data backup.

Has your PC just crashed? And you lost all your data? Or you had that really neat memory stick thingy where you save all your files stolen? Or you saved over the top of that so important file you had to keep?

Ok, let’s start at the beginning.

Why do I have to backup ?

Well before that just need to make one point that this page is for small businesses and those people who keep valuable stuff on their PC.

Why do I have to backup ? Because things go wrong.

PCs do break down. Even if you can get them repaired you will have to wait to get to your files / email ...
Hard discs do stop working. Yes, they are very reliable, but they do go wrong. And sometimes if you are really unlucky they go wrong much sooner than you would like.
Software does go wrong. Software failure can mean corrupt files. Corrupt means you can not load your files. (If you are thinking this paragraph does not read right it is because I have just edited out a joke about Corrupt and MPs - I am sure they are all very hard working and do not cheat on their expenses ... did you just see that pig fly past?)
We change our minds. Not you I am sure; but that other gender non-specific term. That document you finished last week, you change this week, and then wish you could get back to the earlier version. Been there; done that; got the t-shirt.
We make mistakes. You delete a file, clear the recycle bin, and then wish you had not. Have you ever done that? Yes, me to. Being a bloke I can not multi-task ... and I get confused very easily. Perhaps I should be a banker?

My stuff is important

It is staggering / frightening to think about the value of the stuff we keep on our PC. All those emails, contacts, orders, invoices, the accounts, the tax stuff ... If you were to lose all that ...

Well it does not bear thinking about.

The cost of deleting one file may range from being a minor inconvenience to a significant disaster. The loss of a letter to a customer may not be a problem. But what if you lost your accounts? Details of a major order?

For most companies, including many smaller companies, the loss of all their data would put the existence of the business at risk. How would you know what orders you have? Stock to buy? Customer and supplier contact details? Records for the tax man?

Even small businesses would find it difficult to recreate the lost information. And the time spent on doing this reduces the time available to do your real job, and so it reduces your income.

Enough said. I am convinced.

How not to backup

I copy my data to CD / DVD / USB drive

And I do it every day. I keep lots of versions. I store them off-site. And I encrypt the files. Oh, and I believe in the tooth fairy.

Copying your data to a CD, DVD or external USB drive is a cheap way of backing up your data. If you have the discipline to do it every day without fail then it is an option. But be honest, will you actually do it every day? Store it off-site in a secure location? Encrypt the data?

Enough said.

I keep paper copies of all important documents

And? If your business is so paper-bound that the loss of the PC and all its files would not affect the smooth running of your business then click away now. There is no point in you being here.
